I. Data Collection in Business Relationships

Data collected: email address, postal address, phone number.

Purpose: handling of business relationships.

Retention period: duration of the contract plus statutory retention periods.

II. Visiting the Website

Each page view records technical data: IP address, date/time of access, browser information.

Retention period: a maximum of 7 days.

III. Contact Form & Email

Submitted information is stored to process your request.

Requests submitted via the demo and contact forms are transferred to Zoho CRM, a service of Zoho Corporation B.V., Beneluxlaan 4B, 3527 HT Utrecht, Netherlands. Processing takes place on servers in the EU. Legal basis: Art. 6(1)(b) GDPR.

After the conversation is concluded: deletion.

Technical data: deleted after 7 days.

IV. Newsletter

Required data: email address.

Procedure: double opt-in with a 48-hour confirmation window.

Dispatch is handled via Zoho Campaigns, a service of Zoho Corporation B.V., Beneluxlaan 4B, 3527 HT Utrecht, Netherlands. Processing takes place on servers in the EU. Legal basis: Art. 6(1)(a) GDPR.

Retention period: a maximum of one year after the last contact.

V. When Using Vaiking

Upon conclusion of the software contract or written order confirmation, the following data is collected:

• First and last name
• Email address
• Phone number
• API key and user key
• Contract data (contents, start, end)

Legal basis: Art. 6(1)(b) and (f) GDPR.

VI. Customer Account

Registration data (name, email, address) is stored for account management.

Deletion after completion of the contract.

VII. Hosting and Content Delivery

This website is hosted by IONOS SE, Elgendorfer Straße 57, 56410 Montabaur, Germany. When the website is accessed, IONOS processes the technical data listed in Section II on servers in Germany. Legal basis: Art. 6(1)(f) GDPR (legitimate interest in the secure and reliable operation of the website). A data processing agreement is in place with IONOS.

We use the content delivery network of Cloudflare, Inc., 101 Townsend Street, San Francisco, CA 94107, USA, to deliver and protect this website. The traffic of this website passes through Cloudflare servers, which process technical connection data (including the IP address). Transfers to the USA are based on the EU-US Data Privacy Framework and standard contractual clauses. Legal basis: Art. 6(1)(f) GDPR.

VIII. Analytics Tool Zoho PageSense

This website uses Zoho PageSense, a web analytics service of Zoho Corporation B.V., Beneluxlaan 4B, 3527 HT Utrecht, Netherlands. PageSense collects pseudonymised usage data such as pages viewed, time on page and interactions in order to improve the website. Processing takes place on servers in the EU.

PageSense is only loaded after you give consent via the consent banner. Legal basis: Art. 6(1)(a) GDPR and Section 25(1) of the German TDDDG. Your choice is stored locally in your browser (localStorage); this storage is technically necessary (Section 25(2) TDDDG).

You can withdraw your consent at any time with effect for the future by deleting the stored choice in your browser. The consent banner will then appear again.

IX. Your Rights

Users can withdraw consent at any time, unsubscribe from the newsletter and delete customer accounts. Rights of access, rectification, erasure and objection apply under the GDPR.

You also have the right to lodge a complaint with a data protection supervisory authority (Art. 77 GDPR). The competent authority is the State Commissioner for Data Protection and Freedom of Information of Baden-Württemberg, Germany.
